Office Attendant Job Description

The Office Attendant plays a pivotal role in executing various administrative and office support duties to ensure the seamless functioning of the office. This multifaceted role encompasses responsibilities like maintaining cleanliness, aiding in basic office requirements, managing deliveries, and extending support to staff and visitors.

Responsibilities of an Office Attendant:

  • Uphold the tidiness of the office by consistently cleaning and organizing workspaces, including desks, chairs, meeting rooms, and communal areas.
  • Prepare and serve beverages to employees and guests, guaranteeing the availability of refreshments.
  • Oversee office supplies and inventory, keep tabs on stock levels, and arrange orders for replenishment as necessary.
  • Assist in receiving and distributing mail, packages, and deliveries, and handle outbound mail and shipments.
  • Contribute to photocopying, scanning, and filing documents as needed, sustaining a well-ordered filing system for ease of retrieval.
  • Undertake minor administrative tasks, including printing, binding, and assembling documents and presentations per directives.
  • Aid in setting up conference rooms and organizing essential equipment for meetings, conferences, and other events.
  • Monitor and maintain office equipment, promptly reporting malfunctions or issues to the relevant personnel for repairs or replacements.
  • Execute errands and handle duties outside the office, such as banking transactions, bill payments, and assorted tasks as assigned.
  • Welcome and support visitors, ensuring a positive and professional impression of the office.
  • Adhere to safety and security procedures to sustain a secure work environment.
  • Provide support to coworkers and employees with ad hoc tasks when required.

Qualifications for an Office Attendant:

  • High school diploma or an equivalent level of education.
  • Prior experience in a comparable role or familiarity with office procedures is advantageous.
  • Proficient communication skills in English, encompassing both written and verbal aspects.
  • Capability to multitask and proficiently prioritize tasks.
  • Demonstrated organizational aptitude and practical time management abilities.
  • Exceptional attention to detail and precision when executing tasks.
  • Fundamental computer competencies and acquaintance with standard office equipment.
